Custom Period Sales Report

The UltraCart Custom Period Sales Report provides a highly detailed view of your sales activities for any date range you specify. You define the begin and end dates, and the report then delivers a comprehensive breakdown of gross sales, payment methods, pricing performance, item statistics, shipping and tax details, daily sales trends, and refund information. This report is an invaluable resource for in-depth sales analysis, monitoring tax obligations, and assessing refund patterns to support strategic business decisions.

Report Structure

This report is presented as a single tab that organizes all your sales data into distinct, easy-to-digest sections. Each section focuses on a particular facet of your sales performance during your selected custom period, offering a complete picture of your financial and operational metrics.


Sections

The report includes the following sections:

Summary

This section provides an aggregated overview of your total sales by the payment methods used during your chosen reporting period. Key metrics here include:

  • Total Revenue: Your overall gross sales for the period.

  • Number of Orders: The total count of orders processed.

  • Payment Method Distribution: A breakdown of sales by how customers paid (e.g., credit card, PayPal, etc.).

Credit Cards

Get a detailed breakdown of sales specifically by the type of credit card used:

  • Credit Card Type: (e.g., Visa, MasterCard, American Express)

  • Transaction Volume: The number of transactions processed for each card type.

  • Revenue per Card Type: The total sales revenue generated by each card type.

Pricing Tiers

If you have pricing tiers configured in UltraCart, this section displays how sales are attributed to each tier. You'll see revenue and order volume for each pricing level, helping you evaluate their effectiveness. This section only appears if pricing tiers are active.

Items

This section provides a detailed breakdown of individual item performance:

  • Units Sold: The total quantity of each item sold.

  • Revenue per Item: The revenue generated by each specific item.

  • Average Price per Item: The average selling price for each item.

Shipping/Handling

Understand the revenue generated from shipping and handling fees, broken down by the specific shipping methods used (e.g., UPS Ground, USPS Priority).

Sales by State

This section shows your gross sales categorized by state. This is particularly useful for identifying states where your sales volume might be approaching thresholds that require specific sales tax reporting.

Sales Tax Breakdowns

Gain granular insights into the sales tax you've collected, crucial for tax compliance:

  • Sales Tax by State: Lists sales taxes collected for state-level jurisdictions.

  • Sales Tax by State/County: Details sales taxes collected broken down by both state and county-level jurisdictions.

  • Sales Tax by State/County/City: Provides the most detailed breakdown, showing sales taxes collected by state, county, and city-level jurisdictions.

Sales by Day

This section breaks down your gross sales by each day of the month within your custom reporting period. It's excellent for spotting daily sales patterns, peaks, or dips.

Refunds

Understand your refund activity with two distinct views:

  • Refunds (Original Order During this Period): Shows refunds specifically for orders that were both placed and refunded within your selected custom period.

  • Refunds (Refund During this Period): Lists all refunds processed during your custom period, regardless of when the original order was placed. This gives you a true financial impact of refunds within that timeframe.

The Custom Period Sales Report is an indispensable tool for e-commerce managers, financial analysts, and tax compliance teams. It empowers you to:

  • Analyze Sales Performance: Dive deep into specific sales trends and patterns within any desired timeframe.

  • Evaluate Strategies: Use insights from sections like Pricing Tiers and Items to assess the effectiveness of your pricing and product strategies.

  • Ensure Regulatory Compliance: Leverage the detailed Sales Tax breakdowns to accurately report and remit taxes for various jurisdictions.

  • Optimize Operations: Identify sales patterns with Sales by Day for better marketing campaigns and inventory management.

  • Monitor Customer Satisfaction: The Refunds sections provide crucial insights into customer satisfaction and product performance, distinguishing between refunds tied to recent sales versus those processed for older orders.

This report helps you gain a comprehensive understanding of your sales data, allowing you to make data-driven decisions that optimize your sales strategies, ensure compliance, and improve overall profitability.

 

Configuring a Custom Period Sales report

Unlike the Current Period Sales report, this report gives you the opportunity to set several parameters (filters) to customize your report results.

Report Filtering Options

This section details the various filtering and formatting options available when generating reports in UltraCart, allowing you to customize the output to your specific needs.

Date Range

Specify the period for which you want to retrieve data.

  • Custom Date Range: Enter a Start Date and End Date manually.

  • Shortcut Tool: Utilize the shortcut tool to quickly select predefined date ranges (e.g., "Last 30 Days," "This Month").

  • Date Type: Choose whether the report's date range should be based on the order's Processed Date or Shipped Date.

Multiple Sheets

Select this checkbox to generate your report in a Microsoft Excel workbook with data distributed across multiple sheets.

Filter to RTG (Rotating Gateways)

Filter your report by one or more configured Rotating Gateways. Select the checkboxes next to the desired gateways.

Filter to Storefront (or Legacy Theme)

Filter your report by specific Storefront hosts and/or legacy themes. Select the checkboxes next to the desired options.

Group by

  • Item Folder: Select this checkbox to group report data by your configured Item Folders.

Show items at

Specify additional item details to include in your report.

  • Distribution Center

  • Manufacturer

  • SKU and Barcode: Displays the item's SKU and barcode information.

Sales Type

Choose the type of sales data to include in your report. Select one of the following radio buttons:

  • All Sales

  • Affiliate Only Sales

  • Non-affiliate Sales

Placed Via

Filter sales based on the order origination method. Select one of the following radio buttons:

  • All Sales

  • Only Web Sales

  • Back End Order Entry (BEOE)

Format

Select your preferred report output format from the drop-down menu:

  • Excel

  • HTML

 

Schedule Report

This report is schedule-able

To schedule an automated report that is emailed to one or more email addresses, select the "Schedule report checkbox.
You'll then be presented with the report scheduler form:

There are only four (4) fields to be completed:

  1. Enter the starting date and time. 

  2. Chose the interval (Daily, Weekly or Monthly) from the drop-down list. 

  3. Enter the Subject text you want to see on your Email Subject line. 

  4. Enter the email address(es) you want the report to be sent to.  Separate Emails with a comma.

 

 

Generate Report

Once you have completed the custom settings, with or without the Schedule Report feature, click the "Generate Report" button.  If you have a short date range period set, you should see your report downloaded rather quickly.  A long date range will probably take considerable time to prepare the report.  You'll be notified by email when the report is ready for pickup.

If you indeed completed the "schedule report" section, your designated email address(es) will be sent an email from UltraCart Reporting on the frequency you indicated. The report will be attached for downloading/viewing.
