Tutorial: How to Generate a List of Wholesale Customers by State

UltraCart does not currently provide a single built-in customer list filter that combines State and Pricing Tier. However, you can reliably generate a list of Wholesale customers by state using one of the following methods:

• Method 1: Export customer profiles and filter in a spreadsheet

• Method 2: Use the AI Report Builder to create a reusable, always-up-to-date report (recommended)

Both methods assume your Wholesale customers are identified using a Pricing Tier named Wholesale.

• An UltraCart user account with access to:

  • Customers

  • Reports

• Wholesale customers assigned to a Pricing Tier named Wholesale

• Spreadsheet software (Excel or Google Sheets) if using Method 1

This method is best for one-time exports or quick, ad-hoc lists.

1. Navigate to Customers → Customer Profiles
   (or Operations → Customers, depending on your menu layout).

2. Click Export and choose Excel or CSV.

3. Select All Customers
   (optionally limit by date range).

4. Download and open the file in Excel or Google Sheets.

5. Apply filters:

   • Billing State (or State/Province) → e.g., AL

   • Pricing Tier (or pricing_tier_name) → Wholesale

6. Copy the filtered rows to a new worksheet or save the file with filters applied.

Tip: Save the spreadsheet with filters already configured so you can reuse it later.

This is the fastest and most flexible long-term solution. You create one universal report that can be filtered for any state in seconds.

This setup typically takes 30–60 seconds.

1. Go to Reports → AI Report Builder
   (or search for AI Report using the top navigation search).

2. Enter one of the following prompts:

   List all customers whose pricing tier is Wholesale. Include billing state, name, email, company, phone, last order date, and customer ID.
   Show every customer in the Wholesale pricing tier and their billing state.
   Wholesale customers by state – show name, email, company, billing address, and phone.

3. Click Generate.

4. Review the generated table.

5. Click Save Report and name it:

   Wholesale Customers – All States (Filterable)

You now have a permanent report that stays current automatically.

Once the report is saved, filtering takes only seconds.

1. Open the saved report.

2. Click the Billing State column header.

3. Filter by state (e.g., AL).

4. Export the filtered results to CSV or Excel if needed.

Use the Ask the AI / Refine this report box and type:

• Show only Alabama

• Filter to CA

• Only Texas

• Show Florida

The table updates instantly.

1. Click Edit Report.

2. Modify the query (e.g., add “in Alabama”).

3. Run the report or save a state-specific version.

From your saved Wholesale Customers – All States report, try:

• Wholesale customers by state – count how many per state

• Alabama wholesale customers who have not ordered in 6 months

• Wholesale customers in the last 90 days, grouped by state

• Top 10 wholesale customers in California by total spend

• Wholesale customers in AL, GA, FL – include last order date

• Wholesale customers by state with a map visualization

Because the pricing tier is already scoped to Wholesale, these refinements work instantly.

Depending on the method used, you will have:

• A filtered spreadsheet of Wholesale customers by state
  or

• A reusable AI-powered report that can be filtered, refined, and exported on demand
